BOARD OF TRUSTEES – MINUTES
August 28, 2014

A meeting of the Board of Trustees of the Vineland Public Library was held on Thursday, August 28, 2014 in the Community Event Room of the Library, 1058 E. Landis Avenue, Vineland, NJ.

Board of Trustees President Christine Schneider called the meeting to order at 5:30 pm. Notice of this meeting had been sent to the Office of the City Clerk, The Daily Journal, The Press, Channel 9 and was posted in the library in accordance with The Sunshine Law. Trustees present were Victor Druziako, Catherine Franzoi, Sally Goode, Whelma Irby, Josephine Orlando-Spinelli, Ross Stanger, and Christine Schneider. Also present were Library Director Gloria Urban and Administrative Clerk Mary Ann Rada.

MINUTES of June 26, 2014
Ms. Irby, seconded by Ms. Druziako, moved that the minutes of the June 26, 2014 Board of Trustees meeting be accepted. The motion was passed unanimously by all, except Mrs. Spinelli who abstained.

TREASURER’S REPORT for June, 2014
On a motion made by Mr. Druziako, seconded by Ms. Irby, Trustees approved the Treasurer’s Report for June, 2014. The motion was passed by unanimous consent.

TREASURER’S REPORT for July, 2014
On a motion made by Mr. Druziako, seconded by Ms. Irby, Trustees approved the Treasurer’s Report for July, 2014. The motion was passed by unanimous consent.

SCHEDULE OF ACCOUNTS for July, 2014
The Schedule of Accounts for payments for July, 2014, in the amount of $15,933.51 ($9,701.03 – other expenses and $6,232.48 – library materials) was authorized for payment by all present on a motion made by Mr. Druziako, seconded by Ms. Irby. The Administrative Clerk called the roll: YEAS: Mr. Druziako, Mrs. Franzoi, Ms. Goode, Ms. Irby, Mrs. Spinelli, and Mrs. Schneider

Mr. Stanger arrived at this point of the meeting.

SCHEDULE OF ACCOUNTS for August, 2014
The Schedule of Accounts for payments for August, 2014, in the amount of $58,982.91 ($49,124.61 – other expenses and $9,858.30 – library materials) was authorized for payment by all present on a motion made by Mr. Druziako, seconded by Ms. Irby. The Administrative Clerk called the roll: YEAS: Mr. Druziako, Mrs. Franzoi, Ms. Goode, Ms. Irby, Mrs. Spinelli, Mr. Stanger and Mrs. Schneider

APPROVAL OF PAYMENT OF SALARIES AND BENEFITS for month of August and September, 2014
On a motion made by Mr. Druziako, seconded by Ms. Irby, Trustees approved the payment of salaries and benefits for the month of August and September. The Administrative Clerk called the roll: YEAS: Mr. Druziako, Mrs. Franzoi, Ms. Goode, Ms. Irby, Mrs. Spinelli, Mr. Stanger and Mrs. Schneider

CORRESPONDENCE
Letter to Mr. Druziako from a patron
The issue is moot; therefore there was no further discussion.

The Pearce Family
A hand written letter from the children of the Pearce Family was received thanking the Vineland Public Library for all they do, especially the reading and writing clubs. Mrs. Schneider commended the library staff on the wonderful job they do.

Library Director Gloria Urban
Ms. Urban presented a formal letter of resignation to the Board of Trustees. Ms. Urban will be retiring December 1, 2014.

LIBRARY DIRECTOR’S REPORT
A copy of the Library Director’s Report is attached to the original minutes. Ms. Urban added the following:
• The anticipated start date for new hire Wilma Cicchino has been delayed. The required background check report has been misplaced at the City and a new one had to be issued. We hope to have her start work the 2nd week of September.
• The library will be putting out bids for new a HVAC maintenance company.

DEPARTMENT REPORTS
Community Relations Report
Trustees received a Community Relations Report for July and August.
Ms. Urban reported that several days over the summer, the library patron count reached over 1000.

UNFINISHED BUSINESS
Roof – Building Committee Report
• The front entrance of the library has been fenced off and is closed to patrons for safety reasons.
• Hand outs are available to patrons with information about the roof project.
• Completion date is still set for September 21.

NEW BUSINESS
Approval to hire Wilma Cicchino as part-time Library Assistant in the Circulation Department
On a motion made by Mr. Druziako and seconded by Mr. Stanger, Trustees approved the hiring of Wilma Cicchino. The motion was passed by unanimous consent.

Appointment of Personnel Committee for Hire of New Library Director
• Ms. Schneider invited all Trustees to participate in the search for a new Library Director.
• Ms. Urban will email Trustees a link to the State Library with information on Hiring a Director.

Approval of Draft of Advertisement for New Library Director
• Trustees received a draft of an advertisement for a new Library Director.
• Trustees received a handout listing places to advertise with their rates.
• Before approving the draft of the advertisement, Trustees would like to consult with Library Attorney Mr. Duffy on the wording and policies.

OLD BUSINESS
There was no old business.

PUBLIC COMMENT
On motion made by Mr. Druziako and seconded by Mr. Stanger, Trustees moved to open the meeting to the public. The motion was passed by unanimous consent.

No members of the public were present.

On motion made by Mr. Stanger and seconded by Mr. Druziako, Trustees moved to close the public comment session of the meeting. The motion was passed by unanimous consent.

EXECUTIVE SESSION
There was not a call to go into Executive Session.

ADJOURNMENT
On motion made by Mr. Druziako and seconded by Mr. Stanger, Trustees agreed to adjourn the meeting at 6:28 p.m. The motion was passed by unanimous consent.
